Business and workspace information

We collect information about your business and workspace, such as your business name, settings, team members, and the configuration of your AI agents.

Connected channel data

When you connect a channel such as WhatsApp, Instagram, LinkedIn, or website chat, we receive the data needed to send and receive messages on that channel, including account identifiers and connection details.

Conversation data

We process the messages that flow through your connected channels so the Service can read incoming messages and generate replies. This may include text, attachments, and voice notes that are part of a conversation.

Lead and customer data

The Service captures lead and customer details from conversations, such as names, phone numbers, and notes, so you can manage and follow up with your contacts.

Uploaded knowledge base files and website URLs

You may upload files or provide website URLs to build a knowledge base. We process this content so the AI can answer questions using your own information.

Calendar and booking data (if enabled)

If you connect a calendar such as Google Calendar, we process the data needed to check availability and create bookings, only when this feature is enabled by you.

Payment and billing data handled by Lemon Squeezy

Payments are handled by our merchant of record, Lemon Squeezy. Your full card details are processed by Lemon Squeezy and their payment partners, not stored by us. We may receive limited billing information such as your plan, order ID, and payment status.

We use the information we collect to:

  • Generate AI replies and automate your conversations.
  • Capture leads and organize your customer data.
  • Secure accounts, prevent abuse, and troubleshoot problems.

Rafeeq Agent may process customer conversations from connected platforms only to provide the service. We do not sell your data.

AI processing

The Service uses AI to read incoming messages and generate replies and suggestions. To do this, relevant conversation content and knowledge base information may be sent to trusted AI providers for processing. This processing happens only to deliver the features you have enabled.

Third-party service providers

We rely on trusted third parties to run the platform. We share only the data needed for each provider to perform its function.

Providers we may use

We may use trusted third-party providers for authentication, hosting, database storage, AI processing, messaging integrations, calendar integrations, analytics, email delivery, and payment processing.

These providers process data on our behalf under their own terms and security practices. We do not control how connected platforms such as WhatsApp, Instagram, or LinkedIn handle data on their own systems.

Data retention

We keep your data for as long as your account is active and for as long as needed to provide the Service. We may keep some information longer where required to meet legal, accounting, or security obligations. When data is no longer needed, we take steps to delete or anonymize it.

No system can be completely secure, but we work to protect your information and to respond quickly if an issue arises.
